The Patient Management features in VEHRDICT help clinics organize and maintain accurate patient records, streamline communication, and simplify administrative tasks. This support page explains how each of the core functions works and how to use them effectively within the system.


Demographics and insurance

When adding or updating a patient record, VEHRDICT allows you to enter key demographic details such as name, date of birth, contact information, and emergency contacts. Insurance information, including policy number, group ID, and payer details, can be added manually or automatically imported from scanned documents or PDFs. You can edit this information at any time by opening the patient’s profile and clicking on the relevant section. Keeping this information up to date ensures smooth billing and accurate reporting throughout the system.



Intake forms (digital or paper scan)

VEHRDICT supports both digital intake forms and scanned paper forms. Patients can fill out digital forms before their appointment through the patient portal, which are then automatically linked to their record. If a paper form is used, staff can scan and upload the document directly into the patient’s chart. In either case, the system stores the forms in a way that makes them easy to access during clinical or billing workflows. This feature helps reduce repetitive data entry and ensures important details like allergies, medications, and history are captured efficiently.


Patient portal access

Each patient can be granted secure access to their own VEHRDICT patient portal. From the portal, patients can view upcoming appointments, complete forms, send messages to the clinic, and review portions of their medical record, such as visit summaries or lab results. To set up access, you can invite a patient from their profile page using their email address. Managing portal access allows practices to improve communication while giving patients more control over their health information.


Consent forms and document storage

Consent forms such as HIPAA authorizations, telemedicine consent, and treatment agreements can be uploaded and stored within the patient’s chart. These can be scanned paper documents or e-signed digital forms. VEHRDICT keeps a complete archive of all uploaded documents, organized by date and type. This makes it easy for staff to find and reference signed documents when needed and helps ensure that all legal and regulatory documentation is properly filed.


Communication logs and alerts

VEHRDICT keeps a running log of communication between the practice and each patient, including emails, phone calls, and portal messages. These logs help track when patients were contacted and what was discussed. You can also set up alerts or flags on a patient’s chart to remind staff of specific concerns or follow-up needs. These alerts appear prominently when viewing the patient’s profile, helping the team stay coordinated and ensuring important information doesn’t get missed.
